Born and raised in The Netherlands, we started in 2008 and have since grown to over 750 Catawikians, working across 7 international offices, while maintaining our start-up mentality every step of the way. About the role

We are looking for an Executive Assistant to support our Chief People Officer and our Chief Product & Tech Officer, making sure they work at their best. You will be responsible for organizing the day to day agenda of your executives and making sure their time is utilized efficiently in this fast-paced environment. Through your support their days run smoothly and become less hectic. 

You will also be responsible for organising their external participation (travel, conferences, forums) and liaise with the organisers to ensure that everything is well timed and communicated. Additionally, you will be tasked with organizing internal & external executive events. This includes Town Halls, Leadership Team Meetings and the occasional offsite. For this part of the role, it’s essential that you live nearby our HQ in Amsterdam. 


What you’ll do

  • Manage and protect two very active Executive calendars of appointments by planning, advising, coordinating and aligning schedules to respect executives time & needs;
  • Ensure their direct reports are kept informed and up to date in terms of scheduling and co-ordination;
  • Plan & coordinate internal & external events on behalf of the Management Team, including budgeting, set-up, location scouting, agenda preparation and minutes documentation;
  • Support the two Executives with submitting their own expense reports, IT tool requests, etcAct as point of contact for internal/external customers and provide general support to visitors;
  • Coordinate travel arrangements, both domestically and internationally.


What you’ll bring

  • At least 3 years of experience as an executive assistant in a fast paced environment (preferably, high tech start-up environment and supporting multiple Executives);
  • Enjoys organizing company events and is keen to elevate the set up we currently have;
  • Technically savvy: Loves learning new software (like Zoom, Slido, Miro, Slack). Comfortable with Google Suite applications (we use Google for everything).
  • Detail-oriented: No detail is too small, have consistent follow-through;
  • Communicator: Able to read between the lines, coordinate efficiently in a fast-paced environment, working with people on all kinds of seniority levels, internally and externally;
  • Problem solver: Track priorities, multitask, and be proactive;
  • Accountable: Have the drive and self discipline to keep yourself on track;
  • Bachelor’s degree or equivalent preferred.


Where you'll be

The job is based in Amsterdam, NL. You will be part of the Executive Assistants Office and working from home is possible on a part time basis (80% or 90%). You will be required to be on-site on days the Management Team is in and during any events you organize.

Our offices and new way of working

Catawiki is embracing an activity-based way of working, meaning employees are empowered to choose how they split their work week between the office and home. Most team members based in countries with Catawiki offices will collaborate from the office two days a week, and work remotely for the rest.

Our experts and sales staff in our local markets work 100% remotely – in most cases from their home offices. We also hire several other key positions remotely. We offer relocation services for new colleagues who need to work office-based.
