About the role

As a Manager Office Management at Catawiki, you will be responsible for providing a great employee experience by overseeing an efficient, effective, welcoming, inspiring and safe operation and maintenance of our company's facilities in Amsterdam, Groningen, Paris & Lisbon. 

With the office team you manage a portfolio of Office services including events management, travel & accommodation, working from home equipment and reception services. 

You will work closely with various departments to ensure compliance with safety and security standards, manage facility budgets, and implement strategic facility management plans / projects to support the growth and success of Catawiki. 

What you will do

  • Develop and implement facility management projects, policies and procedures
  • Proactively manage the relationships with real estate agents for renting of spaces and sub-letting own premises. Oversee vendor relationships and negotiate contracts for facility services
  • Has experience with directly managing working equipment such as IT tools for employees or has expertise in building strong relationships with Office IT teams
  • Manage and coordinate all facility operations, including maintenance, repairs, events, travel & accommodation, working from home equipment and space planning for the future growth/changes of locations
  • Ensure compliance with local regulations and industry standards for health and safety in all countries and work closely with the People operations to understand legal obligations for countries with a fully remote workforce
  • Experience with building security and working with external partners
  • Experience with hybrid working and able to think of solutions to support working environments as both centralised around the office locations as well as remote 
  • Manage facility budgets and track expenses
  • Collaborate with internal stakeholders to support business operations through effective facility management
  • Identify and implement cost-saving initiatives while maintaining high-quality standards
  • Manage a current team of 3 office co-ordinators (to be grown in the future)

Who you are:

  • A Facility / Office professional, having a bachelor's degree in Facility and / or Hospitality Management or related field
  • 5-7 years of proven experience in facility management, preferably in an international scale up environment having strong knowledge of facility operations, maintenance practices, and safety regulations 
  • Excellent communication and people management / coaching skills
  • Ability to multitask, prioritize tasks, and work effectively under pressure (stress resilience), finding the right balance to be operational and manage the function
  • Having a flexible mindset and hands on mentality 
  • Embracing feedback and having a learning mindset
  • Proficiency in relevant software tools and systems for facility management
  • Analytical skills; ability to work with metrics, analysis and reporting on a regular basis 
  • Excellent stakeholder management skills. Able to build and maintain effective working relationships across the business;
  • Having a hospitality mindset, making sure that all stakeholders feel at home and are supported
  • Strong communication skills and ability to pro-actively update and communicate to  impact key stakeholders such as the Chief People Officer and other business leaders. Able to set clear expectations;
  • High agility - able to adjust strategies depending on business course
  • Proactive mind-set and you take and drive initiative;
  • Fluency in English and Dutch, spoken and written, and other European languages are a plus

Our offices and way of working

We have sensational offices in Amsterdam, Groningen, Paris and our newest office in Lisbon. Most of our employees are within commutable distance of one of our office locations and enjoy a hybrid work model. This means we expect you to be in the office 2 out of 5 days, roughly 40% of your working time, to collaborate and connect with each other. The exception is of course, if the job description specifically states that the role is 100% remote, as some experts and sales positions are.
